How to Use Technology to Manage People

Introduction

Managing employees is a time consuming task. Utilizing technology to properly manage your people, will reduce your costs in both time and money. Chances are that you already have technology in place that will allow you to manage your people better.

Steps

Step One

Start a spreadsheet in a database program and input each employee's name and goals. Make notations in a day by day format if necessary. If you know what they are supposed to be doing, you can keep them on track much more efficiently.

Step Two

Track people's tasks and projects through the use of a calendar. Most email programs come with a calendar which allows you to monitor your schedule and track your goals and projects for each employee. Keep your calendar in a centralized location.

Step Three

Keep your emails brief and to the point. When you email an employee, put the exact reason for the message in the subject line and keep the body of the email to the point. Don't send jokes or anything else to your employee's inbox; when they get an email from you, they need to know that it requires their attention.

Step Four

Use voicemail when you have to. Answer your voicemails as soon as you can, and expect your employees to do the same. Hold your employees accountable if they don not respond to your voicemails in a reasonable amount of time.

Tips & Warnings

  • Make sure that your employees have the tools and knowledge to succeed. Many times an employee is not "lazy"; they simply don't have the tools or training they need to successfully play their part.
  • No amount of technology is a replacement for actually knowing your employees. Get to know their personalities, their strengths and weaknesses. Doing this will also let them know that you care about them as a person, not simply a name in your contact list.
  • Training never ends. As new technology becomes available, more training will be needed. If there is a particularly large amount of training needed, set up a rewards system to help motivate your employees.
